Connecting Xero grants read-only access. Those permissions are the ceiling on what is possible; what Moonmoot currently uses that access to read is the list below.

Organisation settings

Your business name, country and currency, so figures are read in the right currency and context.

Profit and Loss report

Recorded income and costs over the period, the starting point for profit and margin.

Invoices and bills

Sales invoices and supplier bills: what you are owed, what you owe, your open items and your top suppliers.

Bank transactions recorded in Xero

The real cash in and out already recorded in your accounts, so the board can reconcile cash against recorded profit.

The bank transactions above are the records already in Xero, not a live open-banking feed. Moonmoot keeps the two clearly apart.

To be precise about access: the read-only permissions you grant when you connect are the maximum access possible. Moonmoot currently uses that access to read organisation and settings, your Profit and Loss, invoices and bills, and the bank transactions recorded in Xero. It has no write access and makes no changes to your Xero data. As Moonmoot becomes more deeply integrated with accounting platforms, any additional Xero permissions would be requested explicitly and explained before the owner approves them.

What Moonmoot never does in Xero

Read-only means read-only

It has read-only access. It cannot create, edit or delete any invoice, bill or transaction in Xero.

It never files anything: no VAT returns, no year-end accounts, nothing sent to HMRC or Companies House.

It does not replace your accountant or bookkeeper, and it does not do your bookkeeping.

It never posts, never logs in as you, and never takes an outward action without your approval.

How your Xero data is used

One shared read of your business, then a board that acts on it

Your Xero figures feed Moonmoot's Business Context: a single, read-only picture of your business that every part of the product reads from, so the numbers never drift between screens. From that picture, five board seats (finance, operations, marketing, compliance and a chief of staff) review what is happening and agree the single most valuable move.

The finance seat leans hardest on Xero: it reconciles recorded profit against the cash that actually moved, watches unpaid bills and overdue invoices, and flags where the books and the bank disagree. When more than one source touches the same money, it triangulates and names the gap rather than guessing. If a number is not connected, it says so plainly instead of inventing one.

Disconnect, deletion and privacy

Your data, on your terms

Disconnect anytime. Remove the Xero connection in your settings and Moonmoot revokes its access with Xero and stops reading. You are never locked in.

Delete your business. Deletion removes your business data from Moonmoot and revokes connected tokens, including Xero. Owner-requested deletion has a short grace period, then the data is permanently purged (GDPR right to erasure).

Encrypted and read-only. Access tokens are encrypted at rest, the connection is read-only, and Moonmoot reads your numbers rather than posting anything back.

Who it is for

Owner-operated businesses that run on Xero

It is built for owners who wear every hat: cafes, salons, aesthetic clinics, retail, hospitality and local services. If you use Xero and want the numbers to tell you what to do next, rather than leaving you to interpret a dashboard, this is for you.

When it may not be useful yet

  • Your business is brand new and there is little history in Xero to read.
  • Your books are not kept current, so profit and cash will not reconcile cleanly.
  • Your bank is not reconciled in Xero, so the cash view will be thin.
  • You are only trialling Xero with sample or demo data.

Honest limits: Moonmoot is guidance from the data it can see, not financial, legal, tax or investment advice. It does not guarantee growth, and it works best alongside your accountant, not instead of one.

Does Moonmoot change anything in my Xero?

No. Access is read-only. Moonmoot cannot create, edit or delete invoices, bills or transactions, and it never files anything with HMRC or Companies House.

What does Moonmoot read from Xero?

The connection is read-only. Moonmoot currently uses it to read your organisation settings, your Profit and Loss report, your sales invoices and supplier bills, and the bank transactions recorded in Xero. It never writes, and any new permission would be requested and explained before you approve it.

Does this replace my accountant?

No. Moonmoot reads the numbers and turns them into plain-English actions. It does not do your bookkeeping, file your accounts, or give regulated financial, legal or tax advice.

How do I disconnect Xero?

You can remove the connection at any time in your settings. Moonmoot revokes its access with Xero and stops reading straight away.

What happens to my data if I delete my business?

Deleting your business removes its data from Moonmoot and revokes connected tokens, including Xero. There is a short grace period on owner-requested deletion before the data is permanently purged.
